Terms of Service

Last updated 14 October 2026 · version 2026-10-v3

This is a superseded version, kept because it may be the one you accepted. The current Terms of Service applies to new accounts, and to existing accounts once any notified change has taken effect. All versions.

These terms form a contract between Clearpath Labs Ltd (company no. 17145150, registered office 35 Floyer Close, Richmond, England, TW10 6HS) ("we", "us") - trading as SnapAddress - and the business that signs up for an account ("you"). By creating an account or using the Service you agree to these terms.

Updated 14 October 2026. For accounts created on or after that date these terms apply immediately. For accounts created before it, they take effect 30 days after the date of the email we send you about this change, in line with clause 14; until then the version you accepted continues to apply. Every version we have published is available at Previous versions.

1. The Service

SnapAddress provides a UK address lookup and autocomplete API, a dashboard for managing API keys and billing, and a WooCommerce plugin that calls the API (together, the "Service"). Address data is sourced from Royal Mail's Postcode Address File (PAF).

The Service is offered only to customers acting for the purposes of a trade, business, craft or profession. A sole trader or self-employed person acting for their business is such a customer. It is not offered to consumers, and you must not sign up for personal or household use. By creating an account you confirm that you are acting for your business and, if you create the account for a company, charity or other organisation, that you are authorised to bind it to these terms. We ask you to record how your business is set up when you first use the Service, and we may decline, suspend or close an account that is not a business account.

The Service is licensed to you for capturing or verifying the addresses of your own customers for the supply of your goods or services - on your website or application, or entered by your staff on a customer's behalf, for example when taking a phone or manual order. Tell us before using it for any other purpose - for example bulk processing of existing records, other internal use by your staff, or embedding it in a product you supply to others - as different licence terms and fees may apply.

2. Your account

You are responsible for keeping your login credentials and API keys secret. Do not share API keys publicly, commit them to version control, or expose them in client-side code where they can be read by end users. You must use one account per legal entity. If you build or run sites for other businesses, each of those businesses needs its own account: credits can't be shared between businesses. If you suspect your credentials are compromised, revoke and replace them straight away from the dashboard; a revoked key stops working within about a minute.

3. Acceptable use

You may not:

  • use the Service to build, resell, or redistribute a bulk copy of the underlying PAF dataset - Royal Mail PAF licence terms prohibit this and we enforce it;
  • scrape or systematically enumerate addresses to reconstruct the dataset;
  • use the Service for unlawful purposes, to harass, or to process personal data without a lawful basis;
  • circumvent rate limits, share keys across unrelated parties, or operate the Service on behalf of a third party without our written agreement;
  • attempt to disrupt, reverse-engineer, or probe the Service for vulnerabilities outside a coordinated disclosure;
  • extract, copy or store address data to build or supplement an address database or list, other than the individual addresses you capture or verify for your own customers and orders as permitted by clause 1 and the PAF End User Terms;
  • use the Service to cleanse, verify or enhance address databases on behalf of third parties;
  • represent your use of the Service as endorsed or approved by Royal Mail.

Autocomplete. Autocomplete and address-suggestion responses are not charged. They are provided as part of an address capture flow that ends in a lookup, and must not be used as a substitute for a lookup, to harvest or store address data, or to build or supplement any address database. Sustained suggestion traffic without corresponding lookups may be rate-limited or treated as a breach of these terms.

Records and audit. Our Royal Mail licence requires records of PAF use to be kept and made available for audit. You agree to keep reasonable records of your use of the Service for six years, and to cooperate with any audit Royal Mail or we reasonably request in connection with it.

Your staff and contractors. You must make sure that your staff, and any contractor or agency using the Service on your behalf, keep to this clause 3 and the PAF End User Terms. You are responsible for their use, and their right to use the Service ends when yours does.

You also agree to comply with the Royal Mail PAF End User Terms (Appendix A), which form part of these terms. Where there is any conflict between these terms and the PAF End User Terms in relation to use of the PAF data, the PAF End User Terms prevail.

4. Billing

Lookups and credits. One credit is spent for each completed lookup. A completed lookup is a request that returns address data: all addresses for a postcode (up to 100 addresses per request; larger postcodes return further pages, each of which is a lookup), or a single address retrieved by its identifier. A request that finds no matching address is not a completed lookup and is not charged. Autocomplete and address-suggestion requests are not charged. A request that fails because of an error on our side is not a completed lookup; if a credit was taken for it, we restore it.

Credit packs. Paid credit is sold as one-off credit packs bought via Stripe; there is no recurring charge. Credits are sold in packs, in multiples of 100, for use by a single customer account, and cannot be transferred between accounts. Each pack is valid for 12 months from purchase (the activation date for licensing purposes), after which unused credits in that pack expire. This validity period is a requirement of our Royal Mail PAF licence. Topping up does not extend the validity of credits you already hold. Credits are spent oldest-expiring first. New accounts include a free trial of 100 lookups, valid for 3 months from the day they are added to your account when you complete sign-up.

Prices and VAT. Pack prices are shown on the pricing page. The price shown is the total you pay and includes any UK VAT due. Our VAT registration is in progress; once we have our registration number we will issue VAT invoices for purchases from the registration date without changing what you paid. A separately agreed quotation states its own VAT treatment. We may change our prices. We will give at least 14 days' notice on the pricing page and by email before a price increase takes effect. A price change applies only to purchases made after it takes effect and never affects credits you already hold.

Refunds. Credit packs are non-refundable in the ordinary course - for example if you stop using the Service, or credits reach the end of their 12-month validity. This is our commercial policy and is separate from the licence-mandated validity period above. It does not affect your statutory rights, and it does not apply where a pack was bought because of a genuine fault in the Service or a billing error on our part, or where clause 10 (discontinuation) applies. If we refund the full price of a pack, its unused credits are removed from your account. Any other payment we make to you, for example as compensation for a service problem, does not affect your credits.

Automatic top-up. We do not currently offer automatic top-up. If we introduce it, it will be off unless you ask for it: we would buy a further pack for you automatically when your balance falls below a level you choose, at the price agreed with you, emailing you before each purchase. We would give you at least 30 days' notice by email before a price change applies to your automatic top-ups or before withdrawing the feature, and you could switch it off at any time before a purchase is taken. Each pack bought this way would be valid for 12 months from its own purchase, as above.

5. Rate limits

Requests to the API are rate-limited per IP address at our network edge, as documented at /docs/rate-limits-and-errors. Usage draws down the credits on your account. We may adjust rate limits to protect Service stability; material changes will be communicated in advance.

6. Availability

We operate the Service on a best-effort basis and do not currently offer a contractual uptime SLA. We will work in good faith to keep the Service running and to communicate significant incidents.

7. Warranties and disclaimers

We will provide the Service with reasonable care and skill and will comply with our obligations under the Data Processing Agreement. Address data is sourced from Royal Mail's Postcode Address File and may contain errors, omissions, or out-of-date entries; we do not warrant that it is accurate, complete, or fit for any particular purpose. We do not warrant that the Service will be uninterrupted, timely, secure, or error-free. Subject to the commitments in this clause and to clause 11, and to the extent the law allows, we exclude all other warranties, conditions and terms implied by statute or common law.

8. Your data

Our handling of personal data is described in the Privacy Policy. Where we process personal data on your behalf (the lookup queries you send us), we act as your processor under the Data Processing Agreement, which forms part of these terms. You retain ownership of any data you submit to the Service. You grant us the rights necessary to operate the Service on your behalf.

9. Intellectual property

The SnapAddress brand, software, and documentation are owned by Clearpath Labs Ltd. Address data returned by the API is sourced from Royal Mail's Postcode Address File and subject to Royal Mail's terms of use. Royal Mail owns the intellectual property in PAF and the PAF brand; you acquire no rights in it beyond the use permitted by these terms. You receive a limited, non-exclusive licence to use the Service in accordance with these terms.

10. Termination and discontinuation

By you. You can delete your account at any time from the dashboard. Unused credits are forfeited and non-refundable, subject to clause 4 (Refunds).

By us for breach. We may suspend or terminate accounts that breach these terms or abuse the Service. On termination, your API keys are revoked and dashboard access is disabled; a cached authorisation may remain effective briefly while revocation propagates. Unused credits are forfeited and non-refundable.

If we discontinue the Service. If we choose to discontinue the Service, we will aim to give you at least 90 days' notice. During the notice period you can continue to use your remaining credits, and at the end of it we will, at our election, either keep your access open long enough for you to use them or refund the pro-rata value of your unused credits. If we are required to stop providing the Service by circumstances outside our reasonable control - including the non-renewal or termination of our Royal Mail PAF data supply agreement - we will give you as much notice as is reasonably possible and refund the pro-rata value of your unused credits. Where only one product is discontinued, this applies to the credits for that product.

Your records. You retain your rights in your own customer and order records. Retention and use of PAF-derived data remain subject to the PAF End User Terms, including their requirements when your right to use PAF data ends. You must otherwise stop using the Service.

11. Liability

To the maximum extent permitted by law, our total aggregate liability to you arising out of or in connection with the Service or these terms - whether in contract, tort (including negligence), misrepresentation, breach of statutory duty or otherwise - is capped at the greater of (a) £100 or (b) the fees you paid us in the twelve months preceding the event giving rise to the claim. Neither party is liable for indirect, incidental, or consequential loss. Nothing in these terms excludes or limits liability for fraud or fraudulent misrepresentation, for death or personal injury caused by negligence, or for any other liability that cannot be excluded or limited under the law of England and Wales.

12. Indemnity

You will indemnify us against any loss, damage, cost, or expense (including reasonable legal fees) arising from a third-party claim caused by your use of the Service in breach of these terms, your unlawful processing of personal data through the Service, or your infringement of a third party's rights.

13. Events outside our control

We are not liable for any failure or delay in performing our obligations caused by events genuinely beyond our reasonable control, such as the suspension or withdrawal of Royal Mail's supply of PAF data, failure of the public internet or power supply, or regional outages at the infrastructure providers named in our Privacy Policy that we could not reasonably have guarded against. We will take reasonable steps to resume normal service and to tell you what is happening.

14. Changes

We may update these terms from time to time. Material changes will be notified by email and take effect 30 days after notice. The following may take effect immediately when we notify you, because they do not reduce your rights: changes required by law, by a regulator, or by the terms of our Royal Mail PAF licence; changes needed for security or to prevent abuse; changes that are in your favour; and corrections of obvious errors. Continued use of the Service after a change takes effect means you accept the updated terms. Every version we have published is kept at Previous versions.

15. Governing law

These terms are governed by the laws of England and Wales. Disputes will be handled by the courts of England and Wales.

16. General

These terms, together with the Privacy Policy, the Data Processing Agreement, and the Royal Mail PAF End User Terms, are the entire agreement between us concerning the Service and replace any prior agreement on the same subject. Nothing in this clause excludes or limits liability for misrepresentation. If any provision is found unenforceable, the rest continue in force. A delay in enforcing a term is not a waiver of it. You may not assign your rights under these terms without our written consent; we may assign ours, including on a sale or reorganisation of our business. Except as set out in this clause, no one other than you and us has any rights under these terms under the Contracts (Rights of Third Parties) Act 1999. Royal Mail Group Limited may enforce clause 3 and the PAF End User Terms incorporated under it directly against you as a third party, and may recover from you any losses it incurs as a result of your breach of those terms. This reflects a requirement of our Royal Mail PAF licence.
